Mail Services

The mail room and shipping/receiving dock is located on the main floor of Centennial Hall (1C29) and is open Monday to Friday from 8:30 am - 12:00 pm and 1:00pm - 4:30 pm.

Mail Pickup times

UPS: 1:30 pm
Canada Post Parcels: 2:00 pm
Canada Post Lettermail: 3:00 pm

Mail dropped off past these times will result in pickup the next business day.

Internal Mail

The Mailroom Coordinator makes daily rounds around campus to drop off mail that has been received the previous business day. They also pick up internal and external mail that is ready to be delivered or stamped. Time of arrival to individual departments will be consistent on a day to day basis.

Any internal mail picked up will be delivered the next business day. If urgent we advise staff/faculty to drop off internal mail to the mail room.

To avoid possible mishandling of internal mail, cross off the previous receiver/location of mail on the internal enveloppes. Then make your entry below it or the next column of page if applicable, in clear writing.

Any external mail that is picked up will be stamped and received by Canada Post on the same day. Pleasevisit the Canada Post websiteto view expected delivery times.

External Mailout

To ensure that your mail gets to it's desired location, please make sure labels and printing is legible. We also advise to have on the top left corner a return address as this helps us with sorting if your mail is returned to campus.

To avoid any errors with mailouts, the mail room will only be responsible for placing the correct postage for external mail.

We request that you separate all Canada, U.S.A., and International mail individually to help the mail room with postage costs as charges are different for each destination.

The mail room is equipped to handle bulk mailouts. It helps if the sender stacks mail on top of each other with the flap open. This allows our machine to stamp and seal envelopes quickly and efficiently with minimal errors.

Department Charges

By default, the mail room will charge accounts according to department name on the return address unless advised otherwise.

Oversized Mail/Parcel Delivery

Any mailout weighing more than 500 grams (0.5 kg) will be classified as oversized/parcel and will require a barcode shipping label that the mail room can provide.

By default, the mail room will choose the cheapest option for shipping (Expedited Parcel). This will also be the slowest option of delivery due to its cost. A tracking number is available upon request, with extra charges if the receiver is required to sign for the parcel.

If mail/parcel delivery is time sensitive, please indicate that to the Mail Room Coordinator. They can inform you of estimated delivery dates for faster delivery services.

UPS deliveries

All UPS waybills will be the responsibility of the individual departments. Please check with your Department Assistant on this matter.

The mail room can provide any shipment requiring UPS envelopes and packing slips.

Frequently Asked Questions

Can I send mail if there's already postage (stamps) on it?

Yes, you can place it in your department outgoing mailbox or drop it off at the mail room (1C29). There is also a designated silver mailbox on the first floorand drop off mail slots on the 2nd, 3rd, and 4th floors of Centennial Hall located by the elevator.

Do I have to seal the envelopes?

No, the mail room is equipped to do that for you. It is also acceptable if they are sealed.

Where do I get an empty Internal mail envelopes? Who can I contact if I have any questions?
